Tuesdays with Tom: “It’s Just a Few Boxes” (It Wasn’t)
A lighthearted discovery turned into a full records rescue

That’s When the Tour Expanded
One hallway and two doorways later, Tom found the back room. And in that room? Shelves packed with files. Banker boxes stacked from floor to ceiling. Loose folders labeled “Old Budget Docs – Keep?” A few were soft from moisture. One was half-covered in packing tape. A few hadn’t been touched in over a decade.
There weren’t just “a few boxes.” There were TONS.
The city hadn’t realized how much had accumulated because it happened slowly, year after year. A few files here. A new box there. Add in some uncertainty about what to keep and for how long—and pretty soon, it’s a paper avalanche waiting to happen.
When It Piles Up Quietly, It Becomes a Problem Loudly
That clerk isn’t alone. Cities, counties, and small departments across Iowa have the same problem: more paper than time, and more uncertainty than answers.
That’s why Advantage doesn’t just “scan things.” We provide structure, clarity, and an actual path forward. After that visit, Tom worked with the clerk to:
- Identify what needs to be kept, scanned, or shredded
- Create a digital index for all scanned documents
- Move non-essential records into secure off-site vault storage
- And most importantly—free up an entire room
Now, that former “storage room” is being converted into a workspace for staff. All because someone said, “We’ve just got a few boxes.”

Want to Know What’s Really in Your Closets?
Tom’s always happy to stop by and take a look—no judgment, no pressure, no sales pitch—just an honest assessment of what you’ve got and how Advantage can help you manage it.
Email Tom at tom@advantageds3.com or stop by Booth 70 at the Iowa League of Cities conference. He’s not afraid of a few boxes, even when they turn into an overwhelming amount.
