Tuesdays with Tom: The Binder That Saved the Audit

Tuesdays with Tom: The Binder That Saved the Audit

How one casual visit turned into a compliance success story

Tom saved the day!
Tom got a call one Wednesday morning that started with, “You probably don’t remember me, but…”It was a city clerk he had met months earlier during a casual stop-in. They’d chatted over coffee and a couple of donut holes, walked through her records room, and talked briefly about retention policies and compliance. Tom had given her some light guidance, left a follow-up note, and promised to check back in if she needed help. She hadn’t responded since. But now—she was calling in a panic. An audit was underway. The auditors had asked for specific council meeting minutes from a decade ago—documents she wasn’t sure she had, let alone knew how to find quickly. That’s when she remembered the notes Tom left behind.

Turns out, that coffee chat paid off.

Tom had suggested she create a simple, easy-to-maintain retention binder that outlined:

  • What types of records the city held
  • How long should each category be retained
  • Where the records were stored (physically or digitally)
  • And who was responsible for managing each

She’d taken the advice to heart—and tucked the binder away. When the audit team arrived, she brought it out, flipped to the “Meeting Minutes” section, and within minutes, produced exactly what they needed.

The audit continued… but the panic didn’t.

Simple preparation can make a big difference

A Little Preparation Goes a Long Way

Not every town, clinic, or agency Advantage works with is facing an audit—but most are living with some level of uncertainty about their records.

  • Are we storing this correctly?
  • Can we legally dispose of that?
  • What if someone asks for something and we can’t find it?

Tom hears those questions every week. That’s why Advantage Document Scanning & Storage Solutions doesn’t just provide secure storage, scanning, and shredding—we help you understand what you have, what you need to keep, and how to be ready when someone comes knocking.

No scare tactics. No compliance lectures. Just real guidance from someone who’s been there.

It’s Not Just About the Records. It’s About Peace of Mind.

Tom didn’t show up to that city office trying to land a contract. He showed up with coffee, curiosity, and a willingness to help. That one conversation made all the difference when it mattered most.

If you’re worried about your own paper trail—or just want to stop losing sleep over your storage room—Tom’s happy to stop by, talk it through, and help create a binder of your own.

Tuesdays with Tom: “We’ve Been Meaning to Get Around to That…”

Tuesdays with Tom: “We’ve Been Meaning to Get Around to That…” From “we’ll get to it” to “it’s finally done” Tom’s been in the document game long enough to know what “We’ve been meaning to…” really means. It means there’s a records room in the back that no one’s opened since the last audit. It […]
