Tuesdays with Tom: Tom’s Golf Swing vs. Your Records Retention

Tuesdays with Tom: Tom’s Golf Swing vs. Your Records Retention

Because your retention plan should be more consistent than Tom’s driver off the tee.

Tom teeing off—hopefully toward the fairway. Just like your records, he’s aiming for consistency.
Tom’s been golfing for years. He’s got the glove, the clubs, the divot tool he never remembers to use, and a standing tee time on Saturday mornings. If you’ve met him, you’ve probably heard about the 12-foot putt he sank during the office tournament (or, depending on the week, the time he shanked a drive into the parking lot and set off a car alarm). The point is—Tom loves golf. He’s passionate about the game, even if his swing is a little… unpredictable. Some days, the drive is beautiful—straight, clean, perfect tempo. Other days, the ball disappears left like it owes someone money. That’s golf. But that kind of inconsistency shouldn’t define your records retention policy. Unfortunately, for many cities, counties, clinics, school districts, and small businesses, their retention plans are about as reliable as Tom’s driver off the tee. Some organizations have a dusty binder in the back office—a records schedule written a decade ago and never looked at since. Others keep everything “just in case,” afraid to destroy anything for fear it might be needed later. And plenty of people we talk to aren’t even sure if they have a retention plan at all.

Without a solid retention plan, paper files multiply—and so does risk.

When It Comes to Records Retention, Uncertainty Is Risk

Records retention isn’t just about keeping things tidy. When you don’t know what to keep—or for how long—you’re not just creating clutter. You’re creating potential legal liability, audit complications, and mounting storage costs.

Whether it’s HR files, contracts, meeting minutes, medical records, tax documentation, or more—every record has a lifecycle. And that lifecycle is rarely “forever.”

That’s Where Tom—and Our Team—Comes In

At Advantage Document Scanning & Storage Solutions, we don’t just hand you a policy template and disappear. We work with you one-on-one to develop a custom, compliant, and easy-to-follow retention schedule that aligns with your operations, your risk tolerance, and your record types.

Tom will meet you in person, walk through your current setup, and help map out:

  • What records you need to keep (and for how long)
  • What can be securely shredded or archived
  • How to digitize and organize what matters most
  • Which retention laws and regulations apply to your organization
Tom’s not just talk—he’s at your office, walking you through the plan that works for you.

This isn’t about overwhelming you with jargon or spreadsheets. It’s about giving you something better: clarity, compliance, and confidence.

Unlike Tom’s Golf Swing, Our Plans Are Consistent

Tom may not win the Masters anytime soon, but he does know how to help local governments, clinics, and businesses clean up their records mess.

We’ve helped towns reclaim entire storage rooms. We’ve helped clinics finally retire mountains of old patient charts. We’ve helped school districts reduce their risk—and their storage bills—with smarter digitization, shredding, and secure storage plans.

From chaos to clarity—our retention and storage strategies free up space and reduce liability.

If you’re looking at your own records policy—or lack thereof—and thinking, “It’s probably time to revisit this,” you’re not wrong. And you’re not alone.

Reach out to Tom directly or stop by our booth (70) at the League of Cities conference. He might show you his new golf glove. But more importantly, he’ll help you fix your records retention plan—once and for all.

Tuesdays with Tom: Clear the Table… and the Records Room

Tuesdays with Tom: Clear the Table… and the Records Room Year-end cleanup, without the chaos As the holidays approach, Tom’s been hearing a lot of the same things during his visits: “We’re trying to clean up before the new year.” “We’ve got to make space—physically and mentally.” “Let’s just survive until Thanksgiving, then deal with […]

Tuesdays with Tom: “We’ve Been Meaning to Get Around to That…”

Tuesdays with Tom: “We’ve Been Meaning to Get Around to That…” From “we’ll get to it” to “it’s finally done” Tom’s been in the document game long enough to know what “We’ve been meaning to…” really means. It means there’s a records room in the back that no one’s opened since the last audit. It […]
